SALES, DELIVERY, AND CANCELLATION POLICY
1. SALES AND DELIVERY
1.1 Experience Ticket and Order Confirmation
- The experience ticket and order confirmation will be sent to the email address provided at the time of booking.
- Responsibility for the experience ticket transfers to the Customer upon receipt of the ticket by email.
- If the ticket is not received, the Customer should check their spam or promotions folder. If not found, they should contact Raw Arctic for assistance.
- Customers must verify that the experience ticket matches their order details as soon as possible. Any discrepancies should be reported immediately.
2. PRICES AND PAYMENT TERMS
2.1 Pricing and VAT
- All prices on Raw Arctic are stated in DKK and do not include VAT.
2.2 Experience Gift Cards
- Gift cards are valid for a specified amount and can be used as a form of payment.
- Gift cards cannot be combined and must be used individually.
- Discount codes cannot be applied to the purchase of gift cards.
- Raw Arctic reserves the right to cancel an order if this policy is not followed.
2.3 Price and Typographical Errors
- Raw Arctic reserves the right to cancel an order due to significant and/or obvious pricing or typographical errors on the website, social media, newsletters, or email communications.
3. CANCELLATION POLICY
3.1 CUSTOMER-INITIATED CANCELLATIONS
Package Tours
- Deposits for package tours are non-refundable.
- Cancellations made less than 40 days before departure will result in forfeiture of the full amount paid.
Day Tours
- Cancellations made at least 72 hours before departure will be fully refunded.
- Cancellations made less than 72 hours before departure are non-refundable.
Rescheduling Policy
- If more than 72 hours remain before the experience, the Customer may request a rebooking.
- Some experiences, such as overnight stays or those requiring extensive preparation, may have special rebooking terms.
- If less than 72 hours remain before the experience, rebooking is not permitted.
- If a Customer needs to cancel within 72 hours, they should contact Raw Arctic. If alternative spots are available, rescheduling may be offered. If no alternative is available, the cancellation remains non-refundable.
On the Day of the Experience
- If an unforeseen event (e.g., illness) occurs, the Customer should notify the experience manager as soon as possible. Contact details are in the booking confirmation.
- Customers may transfer their ticket to another individual if they cannot attend.
3.2 RAW ARCTIC-INITIATED CANCELLATIONS
Force Majeure & Unforeseen Events
- Raw Arctic reserves the right to cancel any tour due to force majeure events such as natural disasters, political instability, or other uncontrollable circumstances.
- In such cases, no refunds will be provided, and Customers must ensure full coverage through travel insurance.
Operational Issues & Insufficient Registrations
- If a tour is canceled due to operational issues or insufficient participants, Raw Arctic will notify Customers as soon as possible.
- While we strive to provide advance notice, cancellations may occur at unexpected times.
- Customers will be offered an alternative booking date. If no alternative is available, a full refund will be issued.
3.3 WEATHER CONDITIONS
Weather-Related Cancellations
- Safety is Raw Arctic’s highest priority. If severe weather conditions prevent the experience from taking place, the experience manager will notify the Customer to arrange rescheduling if available.
- If no alternative spots are available, no refunds will be issued, and the Customer must rely on their travel insurance.
Last-Minute Cancellations Due to Weather
- If an experience is canceled at the last minute due to weather, alternative booking options will be provided if possible.
- If rescheduling is not an option, no refund will be issued and the Customer must rely on their travel insurance.
4. LIABILITY & INSURANCE
4.1 Travel Insurance Requirements
- Customers must have comprehensive travel insurance covering trip cancellations, medical emergencies, and travel disruptions.
- Raw Arctic assumes no liability for loss, injury, or delays caused by force majeure events, weather disruptions, or other circumstances beyond its control.
- Customers are solely responsible for securing adequate travel insurance to cover all potential risks.
5. SECURITY & DATA PROTECTION
5.1 Payment Security
- Raw Arctic, through its software provider Holdbar, uses SSL encryption to securely process credit card information.
- Customers paying via credit card are protected against unauthorized transactions and may dispute charges through their bank.
5.2 Personal Information
- Raw Arctic registers personal information (name, address, email, phone number) solely for order fulfillment.
- Personal data is stored for five years per the Danish Accounting Act.
- After an experience has been redeemed, most personal data will be deleted within 30 days.
- Personal data is never shared, sold, or transmitted to third parties.
5.3 Customer Rights
- Customers have the right to access, correct, or request deletion of their personal data under applicable data protection laws.
5.4 Cookies and Log Statistics
- Raw Arctic uses cookies to enhance website functionality and improve user experience.
- Log statistics collect anonymized data on visitor behavior for website optimization.
6. REQUIREMENTS UPON ARRIVAL
- Customers must arrive at least 10 minutes before the experience start time.
- Upon arrival, Customers must provide their ticket or booking confirmation as proof of purchase.
